Creating Shareable Filters

Shareable filters are a new feature that allows administrators and users to create customized search filters to easily find and return to content in the CSU Learn library. This is beneficial if there is certain content an administrator wants to push out to users at their campus.

Creating Shareable Filters

NOTE: Only domain administrators can create shareable filters. If you are not a domain administrator, please contact your campus domain administrator to inquire about having shareable filters created on your behalf.

Step 1: Administrators can create filters from the Search Configuration area Administration > System > Configuration > Search Configuration (or use the administration search and type in Search Configuration). Administrators will see a “Shareable Filter” tab to create the custom filters.

Step 2: Click on the Shareable Filters Tab

Step 3: To Create a new Filter, click on the Create Filter button

Step 4: A "Create Filters" screen will appear, and you can now modify the following properties:

  1. Enter Keyword(s): When searching for keywords, make sure to search (in the search text field first) and click Enter (or the magnify glass) to pull up the results BEFORE enabling additional filters.
  2. Filter Name: The name of the Shareable Filter.
  3. Description: A description of the filter.
  4. Security Groups: Displays the list of the Security Groups that administrators can select to publish configured Shareable Filters. Administrators can select one or more security groups.

Please only include your campus and campus administrators as part of the security groups that can see your shareable filter. Adding other campuses will populate filters for their campus as well.

Step 5: Once the filter has been named and security groups identified, go into the filters and adjust them to yield the correct results on the right-hand side. Checking the box next to each filter will narrow down the results.

Please remember to have your keywords already searched before updating the filters.

  1. Activity Type: The activity types that identifies each piece activity in the system
  2. Additional Activity Filters: If an activity has an expertise level, it will be listed din the additional activity filters
  3. Duration (Minutes): Divides up the activities with duration associated with them in intervals to find activities that are a certain length of time
  4. Topics: Associated topics of specific training are broken up in the topics area. Activities imported from Percipio have pre-mapped topics that can be filtered
  5. Training Credits: Any activities that can count towards certifications (e.g. PMI, NASBA, etc.) can be filtered with the training credits filter
  6. Activity Source: If an activity has been imported from a third party system, the Activity source will list the source.
  7. Language: All content on CSU Learn is delivered in English is additional languages become available, the language filter would allow to filter by certain languages.
  8. Activity Availability: This filter will allow to filter activities if they can be launched on a mobile device or not.
  9. Author: Activities such as books, audio books or book summaries will have the ability to filter by author
  10. Start Date: If an activity has a start date such as a in-person or virtual activity, you can filter by the start date of the activity.
  11. Location: If an activity has a location associated with it, such as an in-person or virtual session, the location can be filtered here.
  12. Media Type: Some activities have been associated with a media type, such as video, if that data has been added to an activity, it can be filtered here.
  13. Delivery Method: Activities that have been associated with a delivery method in their metadata, that information can be filtered here

Step 6: Once all the filters have been checked and the desired search results are showing, click “Save Filter”.

Filters cannot have duplicate names, they must be unique.

Once a filter is created, it cannot be modified. It will have to be deleted and created again from scratch.

Step 7: The filter’s status will be “In Draft”. When ready for the filter to be available to the security group, click “Publish”. You’ll see a green success message at the top of the page.

  1. Created by: Identifies the original creator of the filter.
  2. Modified by: Identifies the user who modifies the filter status.
  3. Manage Actions: An administrator with permission can publish filters to a targeted audience and revoke the filters from the audience. Revoking a published filter is required before it can be deleted.
    1. The administrator can Delete the filters after revoking them from the audience. If the administrator attempts to delete a filter before revoking it, the system generates an error message: “Filter should be revoked before attempting to delete.”
    2. Upon successful deletion, the following success message displays: “<Filter Name> deleted successfully.” This deleted filter is removed from the user’s list of Shared Filters.

Step 8: Once the filter has been published, the users that have been identified in the security group will see the new filter under “Shared Filters”.

If you need to remove the Filter, you can go back to the Shareable Filters menu and click REVOKE. Once a filter has been revoked it can be Published again or deleted
