Troubleshooting: Common Errors in Reports

This guide outlines the most common issues and their solutions to help you troubleshoot and resolve report discrepancies efficiently. If you're not seeing the expected data in your Ad Hoc reports, there could be one of the below reasons behind it. 

1. Filters Not Saved Correctly

Issue: Required data is missing because filters weren’t saved properly in the Ad Hoc View.

Solution: Always save filters in the Ad Hoc View first, then save the Ad Hoc Report. This ensures all applied filters are captured in the final report.

 

2. Conflicting Filters

Issue: Conflicting filters in the report may cancel each other out, resulting in missing data.

Solution: Review all filters applied in the Ad Hoc View and ensure they do not contradict each other.

Examples of conflicting filters:

  • Using both Department and Audience Code filters together where the user might belong to the department but not the audience or vice versa.
  • Combining Assigned Training filters like Requirement Status with Unassigned Training fields.

 

3. Activity Not Assigned to Users

Issue: Activities that are not assigned to users won’t appear in Required Activity reports where fields and filters like Requirement status expect assigned training.

Solution: Use the Activity Attempt Ad Hoc Report when reporting on curriculums that haven’t been assigned yet. Use fields such as Completion Status and Registration Status to track user progress. 

 

4. Users Reporting to Multiple Departments

Issue: Users who report to multiple departments might be excluded if one or more departments aren’t included in the filter.

Solution: Create an audience that includes all the required departments. Then, update your Ad Hoc View to filter by this audience instead of individual departments.

 

5. Multiple Records for Same Training Data

Issue: Duplicate records appear for the same training because users belong to multiple audiences.

Solution: Remove the audience code from the list of fields in your Ad Hoc View. This prevents duplication when users are part of multiple audiences.

 

6. Blank Report or Missing Data for Compliance Courses

Issue: Reports are blank or missing data for courses like Data Security, Workplace Violence Prevention, or Emergency Procedures.

Solution: These courses have moved to shared courses. Make sure your report includes the updated activity codes:

  • Data Security: CSU-SCORM-DS1
  • Workplace Violence Prevention: CSU-SCORM-WVPP
  • Emergency Procedures: CSU-SCORM-EMERPRO

Ensure these updated codes are reflected in your Ad Hoc View, report, and any scheduled report.

 

7. Report or Schedule Was Working Before But Isn’t Now

Issue: Previously functioning reports or schedules stop pulling data.

Solution: If all filters and settings have been reviewed and the issue persists:

  1. Try creating a new schedule.
  2. If that doesn’t work, create a new report from scratch.
