How to Add a Certification to a Learning Activity

This article will cover how to add a certification to a learning activity.

Need-to-Know

  • Any learning activity (class, course, curriculum, document etc.) can be a certification.
  • Certifications can be required to completed once or on a frequency to be taken multiple types (requiring recertification).
  • Only 1 certification is allowed per learning activity.

How to add a certification to a learning activity

Step 1: Click on Administration > Quick Links > Learning Activities.

Step 2: Search for the learning activity and click on Edit.

Step 3: Click on the Send to Stage button.

Step 4: Click the Optional button (lower-right of activity page).

Step 5: On the Optional page, click the Certification link under Configure general properties for your activity.

Step 6: On the Certification page, ensure Activity is a certification is selected.

Step 7: Expiration's should either be one time or on a frequency. From the options below, you should select:

  1. Never Expires: This option will allow the user to complete the certification one time and they will be certified. Retraining or recertification is not necessary.
  2. Expires # days after completion: This option will reassign the certification based upon the date of the last completion. Select this if you want to re-use or re-trigger a certification on a rolling date basis.
  3. Expires on [Month] [Day] every "x" year(s). Grace period: This option will allow the certification to reoccur on a fixed date regardless of when the certification was completed. The grace period allows for the completion to take place during a window which will recognize the certification can be completed BEFORE the fixed due date.

The CSU currently only uses these three options (Never expires, Rolling or Fixed due date) for certifications.

Step 8: For a recurring certification where users need to recertify, select either:

  • Rolling Expiration Date: Expires “x” days after completion.

Best practice is to having recurring training expire on a rolling date, however, you may elect to have training expire on a fixed date.

  • Fixed Expiration Date: Expired on “”month”, “day” every “x” year(s) Grace period “x."
    • Grace period will allow the user to complete the course “x” amount of day BEFORE the certification is set to expire.
      • This option can be used, but causes challenges for assignments where users are assigned throughout the year.
      • If a user completes the course outside of the grace period, they WILL be required to take the course again within the same cycle.
      • Recertification doesn’t retrigger unless the user completes the learning activity within the grace period or after the certification expires.
Green step one is rolling expiration date. Green step two is fixed expiration date.

Step 9: Click on the OK button when completed.

A learning activity must be set up as a certification PRIOR to putting the course into Production. Any changes to a certification will apply going forward and will NOT retroactively update previous user’s registrations / completions.

Step 10: Click on the Validate for Production button.
